Reports To: HDA Board of Directors
Hours: Approximately 20–25 hours per week, with flexibility for evening or weekend hours as events require
Compensation: $20–$25 per hour, depending on qualifications and experience
Position Overview
The Hamilton Downtown Association is seeking an organized, personable, and community-minded Program Director to lead membership growth, community programming, and administrative support for Hamilton's downtown organizations. The Program Director will serve as the primary point of contact for downtown businesses and the public, working closely with the HDA Board and coordinating with the Hamilton Downtown Foundation (HDF) and the Downtown Hamilton Business Improvement District (DHBID). This role is a mix of relationship-building, program development, and organizational administration. The ideal candidate enjoys connecting with people, can manage multiple priorities independently, and is excited about promoting downtown Hamilton as a vibrant place to shop, work, and gather.
Key Responsibilities
1. Membership Growth
Recruit new HDA members and retain existing ones through regular outreach and relationship-building
Maintain an accurate membership database and track renewals, new members, and engagement
Communicate membership benefits, opportunities, and resources to downtown businesses
Develop strategies with the Board to grow membership revenue and participation
2. Educational Activities & Programming
Plan and coordinate educational workshops, trainings, or informational sessions for downtown businesses and members
Identify topics relevant to business owners (e.g., marketing, foot traffic, downtown trends) and arrange speakers or partners
Coordinate logistics, scheduling, and promotion for educational events
Gather feedback to improve future programming
3. Administrative Support for HDA, HDF & DHBID Boards
Attend all three board meetings
Prepare regular administrative reports summarizing activities, membership status, and program updates for each board
Maintain organizational files, records, and shared calendars
Track action items and deadlines across all three organizations
4. Community Promotion
Promote downtown Hamilton to the broader community through social media, newsletters, and local media outreach
Highlight downtown businesses, events, and initiatives to increase foot traffic and community awareness
Represent HDA at community events and serve as a visible, approachable ambassador for downtown
Support marketing efforts for HDA events and downtown initiatives
5. General Event & Organizational Support
Assist with planning and logistics for HDA-sponsored events
Coordinate with City, County and State for event permits
Coordinate volunteers and committees as needed
Support sponsorship outreach and donor/member communications
Perform other duties as assigned by the Board within the scope of the position
Qualifications
Strong interpersonal and public communication skills
Excellent organizational skills and attention to detail
Comfortable working independently and managing multiple deadlines
Experience with basic office software, email, and social media platforms
Ability to build positive relationships with business owners, board members, and the public
Ability to delegate priorities to board, support staff and volunteers to keep workload manageable within the allotted time budgeted for the position
A professional, positive attitude and genuine interest in downtown Hamilton's success
Preferred:
Experience in nonprofit administration, membership organizations, event planning, or marketing/communications
Familiarity with Main Street or downtown development programs
